August 2026

  1. Area: Federal reporting

    FISAP filing archive

When you record a FISAP filing, ApolloSRM freezes the figures, the numbers you entered, and the open checks as they were. There is no way to edit or delete a saved filing. A later recompute shows what changed and never overwrites the filed copy. Your school files the FISAP itself.

  2. Area: Financial aid

Split, adjust and close scheduled disbursements

Staff can split a scheduled disbursement into parts, change its amount or date, or close it. These actions edit the schedule only and never post money. A line already in a COD batch is blocked, so an acknowledgment cannot match the wrong disbursement. Posting on the due date is optional and off by default.

  3. Area: Financial aid

    Aid packaging recalculation queue

When a cost of attendance, ISIR, enrollment intensity or verification result changes, ApolloSRM queues a recalculation of the student’s aid package for review. It shows the difference for each award. A person approves or dismisses it. ApolloSRM never changes an award on its own.

  4. Area: Federal reporting

    Entry-level driver training records

For truck driving schools, ApolloSRM tracks each student’s progress through the federal entry-level driver training curriculum, theory and behind-the-wheel. It builds the Training Provider Registry file to the published layout. ApolloSRM does not send it. Your school uploads it through its own registry login.

  5. Area: Federal reporting

    COD Common Record response import

Reads the COD Common Record response file and applies it to the batch you sent. It matches only within that batch. If a record is ambiguous, ApolloSRM does not guess. It lists the record as unmatched for you to resolve.

  6. Area: Financial aid

    G5 cash reconciliation

Compares the G5 authorization and net drawdown figures you enter with the disbursements posted in ApolloSRM. It applies the three business day excess cash rule using your school’s own closure dates. A missing figure shows as unknown with the name of the missing input, never as zero.

  7. Area: Federal reporting

    FISAP assembly

Assembles the campus-based FISAP figures from your own records. Each figure shows where it came from: live data, derived, entered by you, or fixed. A figure ApolloSRM calculates cannot be typed over by hand. Your school files the FISAP itself.

  8. Area: Financial aid

    Full 2026-27 ISIR record layout

Installs the full 2026-27 ISIR record layout, 959 fields, built from the public FSA workbook. It arrives as a draft. Nothing switches to it until an administrator activates it, so existing imports keep working.

  9. Area: Tax forms

    1098-T filed archive and corrections

Once a 1098-T is marked filed, regenerating the year skips it, so today’s ledger cannot restate a form the student already holds. To change a filed figure you make a correction, which creates a new version linked to the one it replaces. A comparison shows where live data no longer matches what was filed.

  10. Area: Federal reporting

    IPEDS submission archive and comparison

Save the figures you reported to IPEDS together with the dates they cover. Later you can compare them with a fresh calculation. The comparison only reports differences and never changes the saved copy. If the period was not recorded, ApolloSRM says it cannot compare.

  11. Area: Financial aid

Return of Title IV charge to the student account

A staff member can post the school’s Return of Title IV amount as a charge on the student’s account. A person confirms it, and it never happens on its own. A double click or a second tab posts it once. The charge and its audit record are saved together.

  12. Area: Privacy

    Student record access log

When staff open a student’s record, ApolloSRM logs who looked, when, and which area they viewed. This covers the main record, grades, ledger, aid, attendance, documents and the sensitive areas such as counseling and health. The student’s Access history shows each entry in plain words.

July 2026

  1. Area: Academic records

    Two-person control on grade changes

Once a final grade is posted, changing it takes a written request with a reason. A different person must approve it. The person who asked cannot approve their own request. Every change keeps its history.

  2. Area: Admissions

    Fairness checks on admissions review

ApolloSRM refuses review rubrics that score protected characteristics such as race, sex or disability. Scores must match the rubric they cite. A person must make and release every admit or deny decision. A selection rate check across groups runs on released decisions.

  3. Area: Financial aid

    90/10 revenue report

A per-student report that sorts ledger revenue into the Title IV funds and other revenue, with gross, refund and net for each fund. Totals match the 90/10 dashboard and the Mission Control check. It exports to CSV. All amounts come from your own ledger.

  4. Area: Tax forms

    1098-T filing records and exclusions

Generates a saved 1098-T record for each eligible student and year. Set yearly exclusion rules and exclude individual students with a reason. The IRS file is built from these saved records, not from a fresh recalculation.

  5. Area: Federal reporting

    NSLDS acknowledgment import

Import the acknowledgment for an NSLDS roster you sent. ApolloSRM records the result on each roster row and rolls it up to the whole roster, so you can see what was accepted and what needs a fix.

  6. Area: Privacy

FERPA disclosure record and decision packet

Download a student’s record of disclosures as a file, built from the access log. Exporting it is itself logged. For any released admissions decision, a decision packet shows the rationale, who decided and released it, the reads, the interviews and the access trail.

June 2026

  1. Area: Federal reporting

    Pre-send check for federal files

Before you send a COD, NSLDS or 1098-T file, ApolloSRM checks your settings and the file itself. Each one shows as ready, needs a merge, or blocked, with the reason. ApolloSRM does not send the file. Your school sends it through its own federal connection.

  2. Area: Privacy

    Financial aid data breach runbook

A checklist for handling a data breach that touches aid records, with a 72 hour clock for telling the Department of Education. You record when the breach was found and when you gave notice. ApolloSRM keeps the clock and shows which steps are late. You do the notifying.

  3. Area: Accreditation

Enforcement actions and a public timeline

Log actions taken against the school by an accreditor or regulator, track response deadlines, and choose which ones show on a public timeline. Internal notes never appear on the public page.

  4. Area: Accreditation

    Accreditor communications log

One log for letters, reports, site visit notices and replies with your accreditor. Each item has a due date, and overdue items are flagged.

  5. Area: Outcomes

    Licensing exam pass rates

Record exam results by student and program. ApolloSRM works out first-attempt and ultimate pass rates, counts each student once, and holds back a rate when fewer than 10 students sat the exam.

  6. Area: Outcomes

    Continued education outcomes

Track graduates who go on to more study, next to placement. The rate counts each graduate once. A student who started more study and then left does not count as continuing.

  7. Area: Outcomes

    Gainful employment program margins

For each program, ApolloSRM shows the debt-to-earnings measures, how close the program is to failing, and the Title IV revenue at stake. Median earnings are figures your school enters from ED and SSA data. ApolloSRM does not make them up.

  8. Area: Financial aid

    Applicant fraud review

Flags aid applications that look like ghost students or bot-made files, such as a duplicate SSN or a birth date that does not match. A flagged file can hold disbursement until a person reviews it. Nothing is denied automatically.

  9. Area: Financial aid

    Cohort default rate tracking

Works out the default rate from the borrower counts you enter, cut off to one decimal and never rounded up. Checks the result against the sanction thresholds and tracks the deadline for each type of challenge.

  10. Area: Financial aid

    Workforce Pell short-term programs

Marks programs that meet the length rules for short-term Pell (150 to 600 clock hours over 8 to 15 weeks) and estimates the prorated award. The scheduled award amount is an input your school supplies.

  11. Area: Financial aid

    Title IV audit prep

Draws a repeatable sample of aid files for an audit year. The same list and seed always give the same files, so an auditor can rerun it. Keeps a register of findings and flags repeats from earlier years.

  12. Area: Financial aid

    2026 loan limit rules

The loan limit calculator applies the 2026 changes under the One Big Beautiful Bill Act. Graduate students get no PLUS amount, and Parent PLUS is capped at $20,000 a year and $65,000 in total. You can switch the rules off to model an earlier year.

  13. Area: Financial aid

    Pell rules for special cases

Checks Pell and Direct Loan eligibility for students without a high school diploma, incarcerated students, and students with foreign income. Shows the two possible award years for a crossover payment period and leaves the choice to the school.

  14. Area: Financial aid

    Third-party servicer oversight

Tracks each servicer’s required disclosure, audit rights clause and joint and several agreement, and logs data audits. An active servicer is flagged when any item is missing or its last audit is more than a month old.

  15. Area: Privacy

Full data export for school owners

The school’s owner can download an export of the school’s records as a zip of plain CSV files. Sealed credentials and raw media files are left out. A table over 100,000 rows is cut at that number and the export says so. The download expires after seven days.

  16. Area: Accessibility

    Accessibility conformance report

A VPAT for WCAG 2.1 A and AA is generated from a source file that is checked on every build, so it changes when the product changes. Each criterion is listed as supported or partly supported, with a plain remark.

  17. Area: Tax forms

    1098-T electronic filing file

Builds the whole tax year’s 1098-T filing file in the IRS Publication 1220 layout. ApolloSRM does not store student SSNs, so those fields are left empty for you to merge. ApolloSRM does not file it. Your school does that through its own IRS account.

  18. Area: Federal reporting

    IPEDS census date snapshots

Freezes enrollment as of your census date, so later edits cannot change a number you already reported. Also counts 12-month unduplicated headcount and follows 150 percent graduation cohorts.

  19. Area: Federal reporting

COD XML and NSLDS roster response files

Builds the COD Common Record XML and the NSLDS roster response file to the published layouts. Missing SSNs are flagged for you to merge. ApolloSRM does not send either file. Your school does that through its own federal connection.

  20. Area: Federal reporting

    NSLDS roster workflow

Upload the roster file from NSLDS, match it to your students, see the differences, and build the response file.

  21. Area: Federal reporting

    COD batching and three-way reconciliation

Groups disbursements into COD batches, tracks G5 draws, and compares your ledger, COD and G5 so differences show up before month end. Batch files are exported for your school to send.

  22. Area: Financial aid

    Disbursement operations with eligibility checks

Before aid posts, ApolloSRM checks enrollment, holds, verification, satisfactory academic progress and a cost of attendance record. Aid that fails a check is held, with the reason named.

  23. Area: Financial aid

    ISIR import and matching

Loads ISIR files and matches each record to a student without storing the full SSN. Every import is saved as a new snapshot and never overwrites an old one. When two students match equally well, nothing is linked automatically.

  24. Area: Financial aid

    Withdrawal compliance tasks

When a student withdraws, ApolloSRM creates tasks for financial aid and the bursar so the return of Title IV funds review happens. This runs even if the school has set up no workflows of its own.

  25. Area: Outcomes

    Gainful employment calculator

Pass or fail results for the debt-to-earnings measures and the earnings premium under the 2024 rule, with no middle zone. Earnings figures and poverty guidelines are entered by your school from ED and SSA data. ApolloSRM does not supply them.

  26. Area: Federal reporting

    NSLDS enrollment reporting file

Builds the fixed-width NSLDS enrollment reporting file to the published layout. ApolloSRM does not store SSNs, so the file marks them for your school to merge before sending.

  27. Area: Financial aid

    Pell calculator

Works out Pell by enrollment intensity under 34 CFR 690, including Year-Round Pell, the 600 percent lifetime limit and the blocking C-codes. The scheduled award amount is entered by your school, not made up.

  28. Area: Financial aid

    Direct Loan limit calculator

Shows the most a student can borrow in subsidized and unsubsidized loans, by year, grade level and dependency, within the annual and lifetime limits.

  29. Area: Financial aid

    Verification tracking and disbursement hold

Tracks which students are selected for verification and holds Title IV disbursement while verification is open. Staff can override the hold, and the override is recorded.

  30. Area: Financial aid

Satisfactory academic progress at term end

SAP is rechecked for each active student when a term ends. Programs that take attendance can include an attendance floor. Each result says whether the student is still eligible for aid.

  31. Area: Financial aid

    Packaging rules and decision log

Each school sets its own packaging rules. Every decision, including awards that were skipped or reduced, is saved with its reason so you can explain it later.

  32. Area: Tax forms

    1098-T forms

Works out the box amounts for each student and prints them onto the IRS Copy B form, or onto blank stock. Student SSN and address are left empty for your school to complete.

  33. Area: Federal reporting

    IPEDS enrollment and completions reports

Fall Enrollment and Completions reports follow the federal race and ethnicity rules: nonresident first, then Hispanic, then a single race, then two or more races.

  34. Area: Financial aid

Return of Title IV funds calculator

One calculation engine for R2T4 under 34 CFR 668.22. The student record and the public calculator both use it.
